What Dwelloo keeps, why, who processes it, and how to have it deleted.
Who this is about
Dwelloo serves three groups: landlords who use the app, their tenants, who receive a personal link, and visitors of this website.
A landlord decides what they enter about their building and their tenants. Dwelloo keeps it and processes it for them.
What we keep about a landlord
- The email address you sign in with, your name and your language. There is no password: you sign in with a code sent by email.
- Your buildings, units, leases and rents.
- The rent payments you note, your expenses and the photos of your receipts.
- The notices you send, your condition reports (photos, videos, notes, serial numbers), the documents you file and the dates you write in the calendar.
- Your technicians’ names and phone numbers.
- If you allow notifications: the token Apple gives your phone, removed when you sign out.
- If you reserve a founding-member spot: the plan, the address you give, your consent and whether you confirmed. If you use referrals: the code you entered and the months your own code earned.
- A history of the changes made in your account.
What we keep about a tenant
A tenant’s information is entered by their landlord, or by the tenant on their own page:
- Name, email address, phone number if the landlord gave one, and the language of their page.
- Their lease: its dates and rent, and the payments the landlord noted.
- Their repair requests: what they wrote, the photo or video they attached, and the messages exchanged.
- The notices sent to them, with the moment each was emailed, opened and acknowledged.
- The condition reports of their home, and their signature if they signed one.
- The documents the landlord chose to show them, and the last time their link was opened.
The personal link is a key: whoever holds it sees the page. We keep only a fingerprint of it, and the landlord can replace it at any time. A tenant’s page never names a roommate.
Visitors of this website
If you leave your email address to be told about the launch, we keep that address and the language of the page. Nothing else.
This website places no cookie for visitors and uses no audience-measurement or advertising tool. The address your request comes from is used to limit abuse and appears in the server’s technical logs.
Why we use it
- To run the service: show each landlord their own records, and each tenant their own page.
- To send the messages the service involves: sign-in codes, tenants’ links, notices, reminders, news of a repair.
- To write to a landlord about their founding-member reservation and the launch of the paid plan, only if they ticked the box that allows it.
- To count, without names, how many landlords use the app.
We sell nothing and show no advertising.
Who processes it for us
- DigitalOcean hosts the server, the database and the files.
- Resend sends the emails: it receives the recipient’s address and the message.
- Anthropic (Claude) reads the photo of a receipt when a landlord takes one. It receives that photo and nothing else.
- Apple delivers notifications to a landlord’s phone.
These providers may process information outside Québec, including in the United States.
How long we keep it
For as long as the landlord’s account exists. Deleting the account, from the app, erases its buildings, leases, tenants, notices, condition reports and files, and its tenants’ links stop working.
A document a landlord removes is erased at once. An address on the launch list is kept until the launch, or until you ask us to remove it.
What the service leaves behind is erased automatically:
- messages that were sent, after 90 days;
- the photo of a receipt that is no longer attached to an expense, after 90 days;
- expired sessions and sign-in codes, within a few days.
Your rights
You can ask to see the information we hold about you, to have it corrected or deleted, and to withdraw a consent. Write to contact@shadowlabsai.com; we answer within 30 days.
- A landlord can download a copy of their data in the app (More → Download my data), delete their account (More → Delete my account) and cancel a founding-member reservation there.
- A tenant can ask their landlord first, since the landlord keeps the record, or write to us.
If our answer does not satisfy you, you can file a complaint with the Commission d’accès à l’information du Québec.
Security
Connections are encrypted. Sign-in codes and tenants’ links are kept only as fingerprints. Each landlord can reach their own records and no one else’s, and a tenant’s link opens that tenant’s page only. A sealed condition report can no longer be changed.
